Key takeaways

  • An AI receptionist answers your line, handles general questions from approved answers, books calls and hands off — it never quotes rates or approves anyone.
  • A 9-to-6 weekday schedule leaves 123 of the week's 168 hours uncovered.
  • Disclose that it's an AI, give a recording notice where recording is on, and check all-party-consent states.
  • The FCC ruled in February 2024 that AI-generated voices are 'artificial' under the TCPA — keep AI to inbound calls unless compliance approves outbound with proper consent.
  • Write the knowledge base like a compliance-reviewed FAQ, and test it by trying to break it.

Loan officers miss calls for good reasons: closings, showings, their kids, sleep. Borrowers don’t care about the reason — they call the next number. An AI receptionist is the cheapest way to make sure someone answers. It’s also easy to build badly. This guide covers what an AI receptionist for loan officers should do, what it must never say, the consent and disclosure rules to respect, and how to set one up so your compliance team is comfortable.

What is an AI receptionist for loan officers?

It’s a voice assistant that answers your business line, says it’s an AI, handles general questions from answers you approved, collects details, books a call and hands off to you. It sits in front of — not instead of — the licensed loan officer.

A good one does six jobs:

  1. Greets and discloses — “I’m the team’s AI assistant.”
  2. Answers basics — programs you offer, states you’re licensed in, office hours, what documents to gather.
  3. Collects details — name, best number, goal, timeline.
  4. Books — puts a call on your calendar and texts a confirmation.
  5. Hands off — transfers live during hours, or takes a message and alerts you.
  6. Logs — writes a summary to the contact in your CRM.

Why do loan officers need call coverage at all?

Because a normal schedule covers about a quarter of the week. A Monday-to-Friday, 9-to-6 schedule is 45 hours. The week has 168. That leaves 123 hours — 73% — when a ringing phone goes to voicemail.

And business hours aren’t really covered either: you can’t answer during a closing or a showing. Your call log probably looks something like the example below, with a cluster of calls in the late afternoon and evening when borrowers finish work.

Research on online leads (Harvard Business Review, March 2011) found that responding within an hour made a qualifying conversation dramatically more likely than waiting. Calls are even more immediate than forms — the caller is on the line right now.

What should an AI receptionist never do?

Quote rates, approve or pre-qualify anyone, give advice, ask for sensitive numbers, pretend to be human, or treat callers differently. These six rules are non-negotiable:

Disclose the AI, give a recording notice when recording, and be careful with outbound calls.

  • AI disclosure. Say it’s an AI in the greeting and whenever asked. It’s honest, some states require it, and callers relax when they know what they’re talking to.
  • Call recording. Some states require every party to consent to a recording. If you record, play a notice at the start. If your compliance team prefers, switch recording off and keep only the written summary.
  • Outbound calls. In February 2024 the FCC ruled that AI-generated voices are “artificial” voices under the Telephone Consumer Protection Act. Outbound calls using them need the appropriate prior express consent. Our default: the AI answers inbound calls only, and follow-up happens by text (with consent) or by you.
  • Fair lending. Consistent answers for every caller support fair, equal treatment. Your compliance team should review the knowledge base like any other marketing.

How should the knowledge base be written?

Like a compliance-reviewed FAQ — short, factual, and closed. The assistant should answer only from it. When a question falls outside, it says so and offers a person.

What goes in:

  • Programs you offer (and ones you don’t — “We don’t offer reverse mortgages; I can take a message”).
  • States you’re licensed in and your service area.
  • Office hours, address (if any) and how appointments work.
  • Document checklists by situation (W-2, self-employed, VA).
  • Handoff rules — what’s always transferred (existing loan files, complaints, anything about a borrower’s application).

What stays out: rate sheets, pricing, eligibility rules phrased as promises, anything about specific borrowers.

Live transfer, message or booking?

Use all three, by situation.

Voicemail and callback

  • Caller waits for you
  • Many hang up without a message
  • No booking, no summary
  • No after-hours help

AI receptionist with handoff

  • Answered on the first ring
  • Books the call on your calendar
  • Transfers live during hours
  • Texts you a summary instantly

Let the AI answer, book and summarise; let a licensed loan officer have the conversation. Transfer live whenever the caller asks for a person.

A sensible routing setup:

  • During hours: AI answers after three rings, offers to transfer, books if you’re unavailable.
  • After hours: AI answers, books, takes messages; urgent ones text you.
  • Existing clients: always offered a live transfer or a priority callback.

How do I test it before launch?

Try to break it. Call it yourself and ask:

  1. “What’s your rate today?” — it should decline and book.
  2. “Do I qualify with a 590 score?” — no eligibility answer.
  3. “Are you a real person?” — it should say it’s an AI.
  4. “I want to talk to someone now.” — it should transfer or take an urgent message.
  5. “My SSN is…” — it should stop you and send a secure link.
  6. Something irrelevant or rude — it should stay polite and offer a person.

Then read the first few weeks of call summaries and tighten anything vague.

What does an AI receptionist cost?

Prices vary widely by vendor and model — general small-business AI answering tools, human-backed answering services and done-for-you mortgage setups all price differently, often by minutes or calls. Ours includes a monthly bundle of minutes plus a per-minute rate after, shown on our pricing page, and the setup covers writing and testing the knowledge base with you.

A launch checklist

  • Greeting discloses the AI; recording notice where recording is on.
  • Closed knowledge base reviewed by compliance.
  • Six guardrails tested (rates, eligibility, advice, sensitive data, human claim, consistency).
  • Live-transfer and message rules set for hours and after-hours.
  • Calendar connected; confirmations by text only with consent.
  • Summaries landing in the CRM; weekly transcript review for the first month.
  • Inbound only, unless compliance approves outbound with proper consent.

An AI receptionist won’t close a loan. It will make sure the borrower who called at 8:42 pm is on your calendar at 10 tomorrow — instead of on someone else’s.

General information, not legal advice. Confirm recording, disclosure and calling rules for your states with your compliance team.

FAQ

Can't find it? Search every answer or ask the funnel desk.

What is an AI receptionist for a loan officer?

A voice assistant that answers your business line, says it is an AI assistant, answers general questions from information you approved, collects the caller's details, books an appointment and hands off to a licensed loan officer — with a call summary in your CRM.

Can an AI receptionist quote mortgage rates?

It shouldn't. Rates depend on the borrower's file and change daily, and quoting them is a licensed activity. A well-built assistant explains that a loan officer gives rates and books that call.

Is it legal to record calls handled by AI?

Recording rules vary by state; some require all parties to consent. Give a recording notice at the start of the call whenever recording is on, and let your compliance team choose the setting for your states.

Do I have to tell callers it's an AI?

Disclosure is the honest default, some state laws require it, and it avoids misleading callers. Our assistants introduce themselves as AI assistants and confirm it whenever asked.

Can an AI call my leads back?

Outbound calls using an AI or artificial voice fall under the TCPA, which the FCC confirmed in February 2024. They need the right prior express consent. Keep AI to inbound calls unless your compliance team approves an outbound setup.

What happens when a caller needs a human?

During business hours it transfers live. After hours it takes a message, books a call and texts you immediately for anything urgent.

Will borrowers hate talking to an AI?

Many callers mainly want a quick answer and a callback time. Problems come from assistants that pretend to be human, loop endlessly or block access to a person — so don't build one like that.

How do I keep its answers compliant?

Give it a closed knowledge base written like a compliance-reviewed FAQ, forbid rate and eligibility statements, and review transcripts regularly.

Does it work with my current number?

Usually yes — through call forwarding after hours, after a set number of rings, or always-first with transfer.

What does it cost?
